From here forward for this privacy statement, Safety Measures Ltd will also include Safety Measures WEX Ltd and vice versa. Both companies are operated by the same team but have two different directives.

Safety Measures WEX Ltd works with companies, schools and colleges to ensure companies are compliant for work experience placements. Registered office: Foxhall Lodge, Foxhall Road, Nottingham, NG7 6LH. Registered in England and Wales no: 10920693.


What we collect

We may collect the following information:
   
  • contact information including name, company, address, telephone number and email address.

  • personal information, or personal data, relating to schools, educational organisations, companies and work experience students.

  • other information relevant to customer surveys and/or offers.

    What we do with the information we gather

    Companies

    We use company information to provide information and advice to deliver our services. We also hold financial data relating to financial transactions between the company and Safety Measures Ltd. .

    Schools / Educational Organisations

    Information held in regard to schools is limited to, school name, address, and telephone number. This is all information that is generally available. The only other information we hold is contact names and email addresses – this information is held on our work experience database and on our Finance System – Intuit/Quick Books. This information is held specifically with Safety Measures WEX Ltd, and is not shared in any way.

    Students / Learners

    Student information is forwarded to Safety Measures WEX Ltd, by schools / educational organisations at the start of each academic year. The information is limited to first name, surname, date of birth, year group and gender. Information in regard to physical disabilities may also be forwarded where it is deemed necessary for the purpose of our work. No further information should be forwarded to Safety Measures WEX Ltd. in relation to students. This information is held on Safety Measures WEX Limited’s ‘all-together’ database, for the purpose of arranging health & safety checks to employers / placements where students will be attending on work experience. This information is held until students / learners are no longer the responsibility of the school / educational organisation. This information is not shared with any other organisation and is not forwarded on to anyone apart from, possibly, student name to the relevant employer only.


    Data Sharing and Third Party Access

    We do not sell, rent, or share your personal data with third parties for marketing or unrelated purposes. Your information is used solely to provide and improve our services.

    To ensure the security and reliability of our systems, we engage a trusted IT support company. This provider acts as a data processor under the General Data Protection Regulation (GDPR), meaning they process personal data only on our documented instructions and never for their own purposes.

    Our IT support company is contractually bound to:

  • Access personal data only when necessary to provide technical support and system maintenance

  • Follow our instructions as the data controller

  • Implement appropriate technical and organisational measures to protect your data

  • Maintain strict confidentiality and not disclose data to any other party

  • Assist us in meeting GDPR obligations, such as data subject rights and security incident management

  • We regularly review these arrangements to ensure compliance with GDPR and to safeguard your information. In addition, we do not share your personal data unless we have your express written consent unless required to do so by law.

    You may request details of personal information which we hold about you under the Data Protection Act 1998. A small fee will be payable. If you would like a copy of the information held on you please write to us at Safety Measures Ltd, Foxhall Lodge, Foxhall Road, Nottingham, NG7 6LH.

    If you believe that any data we are holding on you is incorrect or incomplete, please contact us as soon as possible at the above address. We will promptly correct any information found to be incorrect.
